As modern enterprises accumulate data at unprecedented scale, the challenge of understanding, classifying, and protecting sensitive information becomes increasingly complex. A U.S.-based real estate investment trust (REIT) engaged Castle Ventures to strengthen its data governance posture and reduce the risk of unauthorized exposure of business-critical information.
Castle Ventures designed and implemented a scalable, automated solution capable of classifying millions of documents, applying consistent data protections, and delivering lasting visibility into how sensitive information moves across the organization.
The Challenge: Data Everywhere, Answers Nowhere
Like many growing real estate organizations, our client managed vast volumes of data across multiple business units, shared drives, collaboration platforms, and cloud applications. The challenge was not only scale, but fragmentation.
Over time, departments generated and stored information independently, creating silos that made it difficult to answer fundamental security questions:
- Where is our sensitive data?
- Who can access it?
- How do we ensure it remains protected as it moves across the business?
Our client needed a systematic way to classify information without relying on end users, enforce labeling and protection policies consistently, and identify potential misuse or unauthorized movement of sensitive data throughout the environment.
Castle Ventures’ Approach
Castle Ventures implemented a modern, context-driven data classification and protection program using Concentric.ai and Microsoft Purview. The combined approach delivered both enterprise-wide visibility and actionable security controls.
1. Context-Aware Discovery at Scale
Concentric.ai analyzed millions of documents across repositories to identify their true content and sensitivity. This eliminated the need for manual classification by business users and ensured consistent results across all departments.
2. Automated Labeling and Policy Enforcement
The contextual insights generated through discovery were used to automatically apply Microsoft Purview sensitivity labels. Because these labels are embedded directly into file metadata, they persist as data is shared and accessed across supported environments.
This enabled the REIT to introduce organization-wide data loss prevention (DLP) policies, ensuring that protections followed data wherever it was stored or shared.
3. Integration with Security Controls
Castle Ventures integrated classification outputs with the organization’s web proxy, firewall, and email security platforms. These controls could now distinguish between permitted and prohibited data flows, significantly strengthening the organization’s ability to detect and prevent unauthorized data exfiltration.
What a Secure Environment Looked Like for Our Client
The initiative established a clear, shared understanding of where sensitive information resided, who could access it, and how it moved throughout the enterprise.
A secure operating environment meant:
- Every sensitive document was identified and labeled based on its actual content.
- Data protections remained consistent, regardless of where files traveled.
- Security teams received alerts when sensitive data was accessed, shared, or transferred in suspicious ways.
- The organization gained confidence that regulatory, contractual, and internal data governance requirements were being met.
Impact on the REIT Team
By implementing a unified system for discovering, classifying, and protecting data across all repositories, the organization gained something critical: confidence and operational clarity.
The team moved from uncertainty—knowing sensitive information existed but lacking visibility into where and how it was used—to an environment in which:
- Data classification no longer depended on individual users.
- Sensitive business and investor information was automatically identified and protected.
- The organization was better prepared to detect malicious insiders, external threats, and accidental data leaks.
- Security analysts could make faster, more accurate decisions with significantly improved context.
The engagement delivered not only stronger technical controls, but also greater resilience and preparedness in the face of an evolving threat landscape.
This project demonstrates the value of modern, context-driven data classification in strengthening enterprise security for real estate organizations. Through its partnership with Castle Ventures, the REIT established clearer visibility, more consistent protections, and a scalable foundation for long-term data governance.
